Principals' Letter.



October 2011

Dear NMS 8th Grade Students and Families,

We will again lead a group of 8th grade students to our nation’s capital. From May 29th - June 1st 2012 the students will get the chance to discover first-hand the sites and history of Philadelphia, Pennsylvania and Washington, D. C. Departure will be via chartered coach the morning of May 29th and travel to Philadelphia where we will spend the afternoon and will arrive in Washington D.C. that evening. We will spend the next three days sightseeing and return to North Middle the evening of June 1st. The deadline for registering for this year's trup is Friday October 28, 2011..

Because of the distance and time involved in this trip, the students who travel with us must demonstrate, at all times, a sense of responsibility while at school.  This will insure us that they will act sensibly and responsibly while on the trip, making the trip both safe and enjoyable for every student.  In accordance with this idea and to fulfill the assurance given to the Westfield School Committee, the following trip requirements have been established.

1.  Students must have a passing average in ALL subjects, including special subjects.  These passing grades must be maintained at all times between now and the trip itself.

2.  Regular attendance at school (no more than nine unexcused absences for the school year, exceptions may be made at the principal’s discretion).

3.  Reasonable adherence to all school rules (NO external suspensions or chronic behavior problems).

4. Guidelines concerning behavior as set forth in NMS's student/parent handbook.

Any student failing to meet these requirements will not be allowed to participate.  These criteria are in effect until our actual departure.  Failure to meet these requirements will result in cancellation of your registration.

The cost of this year's trip is $629.00 per student. This includes travel, hotel, 3 breakfasts, 4 lunches, 3 dinners, and admission to all sights and activities. To reserve a spot for your child, please complete the registration form that was given to each student in the Washington DC information packet and mail it to WorldStrides with payment of a nonrefundable deposit of $99.00 by Friday October 28, 2011..

A cancellation insurance plan is provided by WorldStrides at an additional fee of $99.00. This fee is automatically added to your payment unless your family decides NOT to have the insurance. Please refer to the back of the registration form that was enclosed in the packet each student already received. To reserve a spot for your child on the trip, WorldStrides must receive a completed registration form and non-refundable registration fee of of $99.00 by Monday, November 1st. 2010. WorldStrides will then send a payment plan to the individual families.

Information & Refund Policy

Dear NMS 8th Grade Students and Families,

Just a reminder that the deadline for registering for this year’s trip to Washington, DC is Friday October 28..  This letter is also to inform you of the cancellation fees and refund policy from WorldStrides. The total cost of the trip this year is $629.00

There is a financial risk to all families and students participating in this trip. Complete details on WorldStride’s Cancellation Policy and their Full Refund Guarantee Program (FRGP) are described on the back of the registration form.

With your registration, WorldStrides will automatically enroll you in the Full Refund Guarantee Program for an additional $99.00. With this program, participants will lose a total of $198.00 ($99.00 registration fee & $99.00 insurance) should you decide to withdraw your child from the trip, or they are removed for violating the trip’s requirements, or if the school or district cancels the trip for any reason. All participants are automatically enrolled in the program and will be billed on the 1st invoice.  Families can elect not to enroll in this program by checking the box on the back of the registration form. However, I encourage you to read the terms and conditions and the cancellation polices in the WorldStrides package before you make that decision. If you have already registered your child for the trip and no longer want to participate in the FRGP please call WorldStrides at 1-800-468-5899. 

If you have the FRGP Insurance

If the school, district, or your family chooses to cancel the trip (for everyone or just your child) for any reason at any time, you will receive a FULL REFUND less the $99.00 non-refundable deposit and the cost of the FRGP Insurance Plan ($99.00), totaling $198.00. There are additional non-refundable fees which may apply to your family, they include: handling charges (If you choose the payment plan option there is a $5 fee per invoice with a max of $30 or six monthly payments), fees for returned checks (insufficient funds check fees), late payment fees, and late registration fees.

If you DO NOT have the FRGP Insurance

If the school, district, or your family chooses to cancel the trip (for everyone or just your student) for any reason a cancellation request letter must be sent to WorldStrides. The following is a summary of WorldStrides cancellation penalties:  Please read the cancellation policy on the registration form for complete details. There are additional non-refundable fees which may apply to your family, they include: handling charges (If you choose the payment plan option there is a $5 fee per invoice with a max of $30 or six monthly payment), fees for returned checks (insufficient funds, check fees), late payment fees , and late registration fees.

  • For letters postmarked 75 days or more before the trip (3/25/12) a $157.25 (25%) penalty applies.
  • For letters postmarked 35-74 days before the trip (3/26/12 to 4/24/12) a $314.50 (50%) penalty applies.
  • For letter postmarked 34 days(4/25/12) or less there is no refund.

In the event that that World Strides cancels the trip, the conditions as outlined in the in WorldStrides package will apply.

Registration:  To reserve a spot for your child on the trip, WorldStrides must receive a completed registration form and non-refundable registration fee of $99.00 by Friday October 28th.. World-Strides will then send a payment plan to the individual families.

Trip Information



The following information relates to expected behavior, consequences, clothing, luggage, valuables, spending money, cameras, and departure and arrival times.

Before the trip: Reasonable compliance with school rules is expected. If you cannot behave in school, how can we trust you in Washington?

Expected behaviors during the trip:

1. Remain with your group or chaperone at all times unless you receive specific permission to do otherwise. ALWAYS tour with another student, never alone. ALWAYS, ALWAYS, ALWAYS!

2. Be courteous, respectful, and considerate to all, taking into account fellow students, chaperones, other visitors, and the place where you are.

3. Curfew (in room): 10 PM unless otherwise specified.

4. Never in rooms of opposite sex.

5. No drugs or alcohol.

6. No shoplifting.

7. No smoking (school rule, bus rule, hotel safety).

8. All normal school field trip rules apply (see school handbook).

9. Dress neatly and appropriately (no offensive logos on T shirts, no ragged jeans, etc.).

10. Radios - Only MP3 types kept low enough not to be audible to others (only on bus not to be used when tour guides are present.)

11. Respect all hotel regulations.

12. Room service, room telephones, PAY T.V., and calls out for delivery of such items as pizza are all off limits.

13. We will be in BIG cities, not Westfield. Do not talk to strangers, no matter how harmless they may seem. Feel sorry for “street people” (homeless), but do not allow yourself to be drawn into conversation with them. If you wish to donate money to them, please do not give it to individuals but to organizations serving them (Samaritan Inn, etc.) This is for your safety.

IMPORTANT

Consequences: Students will be immediately sent home by plane to Bradley Field at parent’s expense for any violation of numbers 4,5 or 6. Similar action will result from any serious or continued violation of the other rules.

Clothing: Washington in late May often has balmy, spring like weather, yet last year we left here with fresh snow on the ground. No one can know whether or not it will rain. Please bring clothing suitable to the season, prepared for possible, rain, and definitely including comfortable walking shoes. A windbreaker and sweater or sweatshirt can be invaluable for early morning windy settings (Washington Monument, etc.) Since at least one day of rain is almost inevitable, be sure to bring an umbrella and/or rain jacket with hood. It gets mighty uncomfortable walking all day in the pouring rain when you don’t have adequate protection. Pack your rain gear in your carry-on bag. This is a MUST!

Luggage: Please try to keep luggage to a minimum, being sure that each piece is tagged with your name. 1 suitcase and 1 backpack or carry-on for the bus.

Valuables: Please do not bring expensive items of any kind that will present you with a security problem. We will not take responsibility for their security. Never leave money or valuables in your hotel room.

Spending Money: Most expenses are covered in your trip payment including lodging, transportation and admissions. Three breakfasts four lunches and three dinners are also included.  We recommend that you bring no more than $75. Consider security in your choice of places to carry your money. Perhaps part of your money would be in traveler’s checks. (Be sure to carry I.D.)

Cameras: Washington is full of memorable sights. A simple to operate camera and a supply of film will help you to remember your trip.  Be sure your camera is operational before you leave home. Check batteries, operating procedures and film (film can be more expensive at tourist stores).

Departure: 6:00 AM, Tuesday, May 29th from the North Middle School parking lot. We will begin loading as early as 5:30 AM. We LEAVE (with or without you) at 6.00 AM.

Return to Westfield: Approximately 11:15 PM on Friday, June 1st at the North Middle School parking lot. Please be there on time to pick up your son or daughter. There will be designated phone numbers given to all parents in case of any time change.

Medical Information For Students

Medical Problems: If you feel sick or have any medical problems, please talk to your head chaperone about your problem. If you cannot find your chaperone, speak to Mr. Daley, or any chaperone and they will assist you. After curfew speak to one of the hall security guards and he/she will contact your head chaperone.

Medicine: Remember that it must be in its original container. Place the container and a sheet of paper with your name and the name of the medicine in a ziplock baggie so that your name shows through the baggie. Give the medicine to your head bus chaperone when boarding the bus Tuesday morning.

Rules: Please review the list of rules previously distributed to you. The rules are designed for the safety and well being of all of us. They will be strictly enforced! The purpose of the trip is both education and enjoyment. Let us make the trip enjoyable for all of us by courtesy and consideration for each person.
